FNP System Users

Recommendations

The CNFD office strongly recommends:

  • All local agencies elect ACH (direct deposit). Call the CNFD office for the necessary forms.
  • Food service personnel have access to a computer and the internet for e-mail online production records, FNP system access, food safety alerts, commodity recalls, and training information.
  • All FNP system users understand the responsibility of their system roles and responsibilities.
  • All local programs will utilize the FNP system. Paper-based forms are unacceptable.

FNP System Access and Passwords

The FNP System can be accessed from the CNFD home page. Please bookmark this site for easy access. FNP passwords expire annually on July 1, and users will be notified of the procedure to change passwords prior to program renewal.

FNP User Type Definitions

The type of FNP User type assigned to an individual determines the level of authority and type of FNP system work that can be done. FNP User types are different than the position titles used in the FNP application, which are: Authorized Representative, Recordkeeper, Lead Food Service Employee Contact, and Food Distribution Contact. These are defined later in this document.

FNP User Types are:

Primary user 

  • Generally the person who uses the FNP system most frequently.
  • Able to perform all application and claim functions (view, add, update and delete) on the FNP system and can add sponsor users.

Secondary user 

  • Generally a back-up to the primary user.
  • Able to perform all application and claim functions (view, add, update and delete).

Authorized Financial Representative

  • This person is responsible for financial aspects of the program, will receive email notification that transmittals are available for viewing and that payments have been processed.
  • May be the business manager, recordkeeper, director, administrative support personnel or superintendent.
  • The name of this person is currently stored in a sponsor ID screen that is available only to CNFD staff. However, this will be changed soon to allow local access. Sponsors must currently notify CNFD to update/change the Authorized Financial Representative information.

Sponsor applications only

  • Is able to work in application screens only. Can view other screens.

Sponsor claims only

  • Is able to work in claim screens only. Can view other screens.

Sponsor view only

  • Can view only, make no FNP system changes.

Commodity customer user

  • Can work in preference surveys, commodity shipments, commodity receiving and year-end reports.

Commodity customer receive only

  • Can work in commodity receiving only.

FNP Position Titles

FNP position titles are those that have been historically used by CNFD.

FNP Position Titles are:

Authorized Representative

  • Responsible for the management and administration of the local program. This person is generally the school superintendent or food service director, but can be the recordkeeper or business manager. It is recommended that local agencies give careful consideration to the person assigned this important role. May receive FNP system e-mail, depending on selection made on the sponsor application.

Recordkeeper

  • Responsible for most of the nutrition program records. Generally works in administrative support, or is the business manager. Is generally also classified as the FNP Primary User. May receive FNP system e-mail, depending on selection made on the sponsor application.

Food Distribution Contact

  • May also be identified as the authorized representative, recordkeeper or lead food service employee (identified on the Site Application). Will receive FNP e-mail related to the commodity program.
  • May be the same person as Recordkeeper and/or Authorized Representative.

Lead Food Service Employee

  • Will be the kitchen manager or head cook.
  • Responsible for food service management and production responsibility at the site level.
  • Sanitation/safety training requirements will be tracked using this person’s address and/or e-mail.
  • Will generally have view access to applications and claims in the FNP system. However, if this person will have responsibilities for commodity preference surveys and shipping/receiving, the primary user must permit “commodity customer user” screen access.
